Department description

    Office Services is responsible for staffing the reception area in the Administrative Offices, maintaining the shareholders' files, handling the corporate mail and maintaining and distributing office supplies, among other things.

    Employees in Office Services receive visitors and residents, in person and on the phone, and direct them to the appropriate corporate destination able to deal with their issue.   In addition to providing general departmental clerical support, staff in Office Services also maintains the historical records for 15,372 households, logs files in and out to employees authorized to access them and maintains resident signatures used during the elections.

     Employees in the Mailroom sort, distribute and process incoming and outgoing corporate mail and photocopy large volumes of material needed to meet corporate-wide and residential organizations' needs.

    Stockroom employees maintain and distribute office supplies to the entire corporation, deliver mail and supplies throughout the corporate campus, collect rent from the lock boxes, deliver petitions to the court house to be assigned index numbers and make routine off-site deliveries.

    Finally, the department assists with selecting office furniture and equipment to meet RiverBay requirements, maintains the corporate property inventory; defines inter-departmental procedures; supports corporate-wide telecommunications affecting voice, alarms and phone; coordinates equipment leases and maintenance agreements; provides messenger service; prepares and administers the budget necessary to accommodate ongoing corporate-wide needs for office furniture, equipment maintenance, postage, office supplies and phone solutions.
